We are looking for a new Executive Assistant/Sales Support Specialist to support our VP of Business Development.
This person will act as an ambassador and first point of contact to our VP of Business Development. You will develop and maintain our internal and external networks, to build knowledge of our key clients, and handle escalations effectively, and in a timely manner in relation priorities. This person will create and leverage strong relationships with our clients to enhance Deep 6 AI’s reputation.

5+ years of sales/administrative support experience in a startup or software environment
Looking for someone who is comfortable speaking to C-Level executives.
Serve as Sales Support for the Deep 6 AI Life Sciences team for specified or targeted key accounts.
Provide account support in coordination with our VP of Business Development that includes emails correspondence, reviewing, preparing and/or completing sales presentations, sales agreements and proposals in a timely manner.
Manage business related tasks such as creating reports, organizing travel and accommodation, taking minutes on calls or meetings, and other organizational tasks.
Provide comprehensive diary management, having full autonomy to make decisions using initiative to resolve conflicts and exercise judgment on priorities.
Manage communications, monitor emails, post and calls taking appropriate action, escalating or delegating accordingly.
Facilitate all logistical arrangements and ensure all documentation is prepared in advance of meetings.
Proactive itinerary planning, researching and considering reasonable alternative cost effective travel, to include assistance with visas.
Maximize cost reduction opportunities, utilizing preferred travel provider in line with travel and expenses policy.
Proofread and sense check all communications and documentation, complying with brand and risk procedures.
Collate and process expenses and invoices ensuring compliance with policy and approval process.
Maintain client contact and relationship databases (CRM) current.
Demonstrated ability to operate independently and juggle multiple projects/tasks simultaneously.
Proficient in MS Office suite, including MS Word, Power Point, Outlook, Excel, and CRM’s such as HubSpot/Salesforce
The confidence to engage with senior/high profile contacts and clients and their teams.
Confident with the ability to use own judgment and make decisions in order to prioritize, challenge, negotiate and influence.
Attention to detail and ownership for the delivery of high quality work.
